Overview

Let's say your employees work shifts in two different locations. As we all know, employees are human and humans occasionally make mistakes—like mixing up their schedule and turning up for a shift at the wrong place.

When this happens, you'll want the employee to be alerted to their mistake right away, along with the manager expecting them at the correct location, as well as the manager at the wrong one.

To help you identify these accidental incorrect location clockings, you can set Indigo to validate a shift's location at the moment of clocking in, so that notifications are then sent out to the people who need to be informed.


Enabling Unscheduled Location Validation

  1. Go to HR > Employee Setup > Locations.

  2. Click on the Column Selector icon in the toolbar.

  3. Select 'Location Manager Email' and click Save.

Adjust the newly added 'Location Manager Email' column in the grid if needed.

Enabling Unscheduled Location Notifications

Next, you'll need to add the location manager's email address to activate the notifications.

  1. After the 'Location Manager Email' column has been added to the Locations grid, select the location required and click Edit.

  2. In the entry's 'Location Manager Email' field, type the email address of the location's manager.

  3. Click Save.

From now on, any wrong location clockings at this location will automatically send out three emails:

  • One to the location manager.

  • Another to the manager of the location the employee was actually scheduled to work from.

  • A last one to the employee themselves.

🧠 Good to Know

  • The email sent to the employee will contain both:

    • Their wrong location clocking information (date, time, location)

    • Their scheduled shift details (date, start and end time, and location).

  • The clocking will have a 'Scheduled Location Mismatch' label in the Attendance Exceptions grid and an 'Incorrect Location' one in the Presence screen.

Assigning a Location to a Shift Preset

Now, you may be asking, "How does Indigo know where an employee is supposed to be during their shift?". Indigo reads the location saved in the applicable Shift Preset, so make sure to update any Shift Presets you'd like to apply this to, by doing the following:

  1. Go to Attendance > Setup > Shift Presets.

  2. Select the required Shift Preset, click Edit and fill in the 'Shift Location' field.

  3. When you're ready, click Save.

⚠️ Important Note!

You need to create a different Shift Preset for every shift that is tied to a location. This means that if 3 locations have the same shift times and days, then you must have 3 different Shift Presets, one for each location.

Setting an Email to be Notified for a Location

There may be other people who need to be notified of a wrong location clocking, besides the location managers of the wrong and correct locations and the employee. That's easily taken care of! Simply add the required personnel's email addresses to the 'Location Manager Email' field as needed.

  1. Go to HR > Employee Setup > Locations.

  2. Highlight the location entry you need in the grid.

  3. Click Edit, then type the required email addresses into the 'Location Manager Email' field, separating each email with a semi-colon and a space (; ).

  4. When you're ready, click Save.

⚠️ Important Note!

NEVER add the employee's email address to the 'Location Manager Email' field! Any employee who clocks in at an incorrect location will be automatically notified, as long as the email of that location's manager has been saved correctly.
