Hello Users,

We’re kicking off the new year with a sumptuous feast 👨‍🍳, setting a positive tone for 2025.

For the first course 🍝, we present our Attendance module, now featuring the new Location-based Clocking Validation and Notification System.

The second main course's protagonist 🍖 is our Performance Management module, now tingling your taste buds with flavourful updates in Templates, Analytics, and Feedbacks.

On the side 🥗, enjoy the delightful additions to our Scheduler and Device Manager features, along with improvements in our HR and Payroll modules.

For dessert 🍨, indulge in the brand new Employee Directory, followed by some Insights enhancements as a treat for your palate 🤤.

Feature Spotlight

  • Introducing the Employee Directory! With just one click from Indigo’s main menu, users with the necessary permissions can now effortlessly view and search for employees across all accessible companies.

    • The directory features a comprehensive grid displaying key information, including employee names, their respective companies, and reporting lines.

    • A search bar and filters are available within the grid, allowing you to easily find exactly who they’re looking for.

  • With our new Location-based Clocking Validation and Notification System, find out in real time when an employee has clocked in to the wrong location for a shift.

    • Clockings made at these locations will be rejected, and an error message will be displayed to the employee on their device.

      Additionally, such punches will trigger automatic email notifications to the managers of the correct and incorrect locations, as well as the employee, ensuring all involved parties are immediately alerted to any discrepancies between scheduled and actual clocking locations.


Platform

  • The banner with links to the Indigo Mobile App on the Apply For Leave screen now smartly adjusts to your device’s screen measurements. Whether you have Indigo open on a mobile or tablet browser, the banner will display perfectly!


Attendance Enhancements

  • Cut down on extra processing time by querying APIs by department. Now, you can easily retrieve clocking data, shift schedules, and employee lists for specific departments.

    Give it a try! And don’t worry—if you query a non-existent department, you won’t get in trouble. The data just won’t be retrieved.

  • Managers can now easily identify and address employees who are working at an wrong location, thanks to the new State value (Scheduled Location Mismatch) added to the Presence Employees' grid. It'll be like having your personal GPS for team alignment ;)

  • Thanks to a new exception we've just added, a tag will be added to an allocation where employees punch in at a location different from their scheduled one. This means managers can now more easily track, review, and potentially address such occurrences.

  • We have enhanced the Costs Detailed report to include an option to use actual costs from allocations, in addition to those from the scheduler.

    • A new dropdown menu now offers two choices: ‘Projected Costs’ (the original report) and ‘Actual Costs’.

    • The ‘Actual Costs’ option uses data from the new Allocations_Cost table, which is populated by the Calculate Costs function in the Scheduler. This function calculates costs for both the scheduler and allocations.

    • When ‘Actual Costs’ is selected, the report will be generated using allocation costs instead of scheduler costs.

    • We have also added a note to the report to remind you that exceptions must be calculated for accuracy.

Device Manager

  • To help you investigate 🔍 and resolve device-related errors more effectively, we’ve enhanced the auditing of Device Manager with:

    • Detailed and refined messages for Activity Status, Device Users, and Biometrics insertions, modifications, or deletions.

    • Improved log readability for multiple punches, Device Activity deletions, and User insertions.

    • Merged device update logs into a single audit record.

  • We’ve supercharged🔋the Access Control Audit report with some exciting new options:

    • 📆 Date Range Filtering: Enter a value in the Date From and Date To fields to filter the report accordingly, and see the date range right in the report's title.

    • 📊 Three Grouping choices: Group the result by employee, location, or cost centre (default: employee). The grouping shows up in the subtitle.

    • 👥 Employee Selection: Generate reports for specific employees by picking them from the grid. The Employees and Access Control records are now in two separate tabs for easy switching.

  • You can now customise your Proface X and Speedface V5L devices’ wallpaper with your favourite image, making them as unique as your company ❤️.

Attendance Fixes and Improvements

  • The Copy and Delete buttons are fully visible in the Rewards screen.

  • The Daily Manning report accurately displays the scheduled shift time, ensuring precise time tracking and payroll calculations with no discrepancies.

  • Target Attendance's Clocking tab correctly uses the Clocking Date to assign attendance instead of the Allocation Date, avoiding any possible mismatch.

  • The sorting functionality works accordingly for both Offline From and Offline To fields in the Device Uptime report.

  • The toolbar remains visible and functional at all times, whether a filter is applied or removed.

  • When adding an allowance in the Rewards rules, the ‘Amount’ field error message has been updated for better clarity on acceptable values.

Device Manager

  • Importing a large number of Device Users and Biometrics is much faster and avoids any error message triggered between the polls.

  • When editing a Device and setting it as an Access Control one, the change applies to that device and not to a different and previously edited one.

Scheduler

  • The 'Create as Published' option in the Scheduler is working as intended when assigning Shift Patterns, including those with an offset day.

  • The image at the top of the email sent when shifts are published or unpublished in the Scheduler no longer appears broken or missing.

  • The published Scheduler email notifications are showing also colleagues who are assigned a detached shift as expected.

  • When the 'Notify Employees' option is unticked in the Scheduler, the employee doesn't receive an email, as expected.


HR Enhancements

  • We’ve introduced a sleek enhancement to the Headcount report that allows you to group by either occupation or custom fields. When you group by a custom field, the feature smartly considers the company you’re currently viewing (selected from the company selector at the top of the page) to determine the options available in the dropdown menu.

    • If you select more than one company to display in the report, and those companies have different custom fields (e.g., Custom Field 1 for Company A is ‘Cars’ and Custom Field 1 for Company B is ‘Number of pets’), the report will group these companies by both fields. To avoid this behaviour, only select the company you’re in when you wish to group by custom fields for this report.


Indigo Mobile App Enhancements

  • Both the Android and iOS versions of the app will now start respecting the Indigo setting for mandatory location capture.

    • As such, users will only be prompted to grant location access when the setting is enabled.

  • Both versions will also start using the CET time zone for clockings, ensuring consistent time reporting across the system.

    • This means that all clockings done from the Mobile App in a non-Malta time zone will be stored in Malta time.

  • The Android version's home screen widget has been enhanced to display only relevant features to users.

    • Widgets for unavailable modules or features will now be hidden, providing a cleaner and more personalised home screen experience.

    • When no modules are enabled, a specific screen will be displayed to prevent an empty home screen.

Indigo Mobile App Fixes and Improvements

  • An issue causing the Android home screen to display an error when offline has been resolved. Users can now navigate the app and refresh the home screen without encountering errors in offline mode.


Insights Enhancements

  • A new dropdown for filtering data by termination reason has been added to the following charts:

    • Termination Reason chart in the Turnover dashboard

    • Employee Turnover chart in the ESG dashboard

  • Meanwhile, the Employee by Hours/Bradford Index chart in the Sick Leave Analysis dashboard has a new dropdown for filtering by employee.


Payroll & Leave Enhancements

  • We have resolved a duplication glitch in the Leave History grid. Entries will no longer be duplicated, even in cases for instance where an employee has both ‘write off’ and ‘pay off’ entries.

Payroll & Leave Fixes and Improvements

  • A scroll bar was added in the Review Overview's Notes tab allowing you to fully read lengthy content.

  • Smoothly finalise your payrolls with no errors showing up.


Performance Management Enhancements

  • Do you need to ask almost identical questions to different teams? Then save time by cloning 🐑 an existing template. The cloned template will be named ‘Copy of…’, but you can easily rename it and customise the questions to fit your needs.

  • No matter your role, whether you’re a receptionist or the CEO, the Feedback feature in the Performance Management module is designed to promote a culture of continuous improvement and open communication.

    With the proper permission (HR_PM_Feedback_Direct), you will be able to give direct feedback to anyone in the companies you have access to.

    You will also be able to Request Feedback about your subordinates from anyone.

    Remember, be kind and honest in your feedback—after all, you might receive feedback on it too! 😉

  • Request feedback from the right employees in the Feedback From grid. How? Just check the Company they belong to in the shiny new column.

  • Tailor your analytics by filtering the question roles (All, Employee, Manager) in the 9-Box-Grid Settings to focus on specific role-based questions.

    But wait, there’s another surprise in the box 🎁. Toggle the new Include Question Breakdown button ☝️. Click on a user icon in any grid box and select the X or Y axis percentage. Voilà ✨! A side drawer will slide open, revealing the questions that contributed to the percentage calculation.

  • We’ve given our Performance Management Templates a stylish makeover 💄 to start the new year on the right foot!

    • Click the hexagonal icon in the bottom left of the Template Builder to expand the section.

    • Four icons on the bottom right of each question show if they’re ☑️ Multiple Choice, 🔔 required, 🕵️‍♂️ confidential, or ✏️ manually generated.

    • Check tags on the bottom left, and click the orange icon on the top right to consult the Help Text.

    • The cherry 🍒 on top: the Custom Score for each option in Multiple Selection questions is now visible in the Template Builder too!

Performance Management Fixes and Improvements

  • HR Admins (or users with Objectives-related permissions) not added to the Organisation Chart can only see the ‘All Objectives’ tab, and create objectives for all employees. If added as employees to the Organisation Chart, they will also see the ‘Personal’ and ‘My Team’ tabs.

  • An email-related issue in Performance Management has been resolved. The reviewee's name is now included in the 'Review Deadline' email subject.

  • In Performance Management's Team screen, the green ticks in the Response Status column stay in the background and don't overlap with the Time filter drop-down menu, as intended.

  • We have implemented several enhancements to the user experience in My Team, All Employees and related screens:

    • We have added a typical 'x' close button in the Start Review screen.

    • Updated the icon in the View Review screen.

    • Updated the Save Changes button.

    • Removed the arrows from star ratings in questions of this type. You can now click on the number of stars you wish to select rather than left or right-facing arrows that add or decrease stars.

    • Updated the phone icon in sections displaying employee information.

    • Alignments in some popup screens have been readjusted.

  • The Check-In Remark's text box is properly displaying its content without the formatting toolbar overlapping it. Furthermore, the Refresh, Cancel and Confirm buttons have been removed from the Remark window in the Objective's Check-In Audit Log section.

  • The Objective grid within the Personal screen accurately refreshes and displays the newly created objectives as intended.

  • The Refresh Review button seamlessly displays the proper updated Review Status in the Review Overview tab.

  • We’ve addressed several front-end errors in Feedback, including a general enhancement to the text margins of columns in the Feedback grid and improved overall margins of the modals that open when giving direct feedback and responding to requests.
