Hello Indigo users,

📚 Back-to-school season is right around the corner! Whether you're scrambling to your favourite stationery ✏️ to get your kids ready or just reworking your commute to avoid the morning rush, this week’s Indigo update is here to bring some ease to your workday, starting with not one but two feature spotlights!

  • The Approval System now includes Expenses 💸, while Payroll adds support for expense management, keeping you top of the class from submission to pay-out.

  • Meanwhile, Benchmarks 📊 has rolled out a busload of new datapoints, filters, and expanded salary insights.

We’re also rolling out some other great enhancements across Indigo; from smarter applicant imports and IBAN change alerts, to more accurate Sickness Benefit deductions and a more intuitive Employee Portal lock. Because just like school, Indigo isn’t only about the big wins, it’s also about the small improvements that make your workday smoother, leaving you with more time for what really matters. ✨

💰 Expense Requests and Expense Management

There's a new big shot in school! The Expense Requests feature is ready to shake up the Approval System module, empowering employees to submit and approve expense-related documents from the Expenses widget in the Employee Portal.

After a brisk setup process for the Approval System (Settings and Rules) and Pay Items, you'll be able to reap all of the feature's benefits:

  • Create Overtime pay items (non-Attendance users 📣 listen up!)

    • This can be made available for Expense Requests and used to claim extra hours worked.

  • Send approved requests to a chosen payroll via the new Expense Management feature in Payroll.

    • Once expense pay items are sent to a payroll, they'll appear under the Pay Items tab in the Payroll Calculations screen.

So wave goodbye to the mountain of paperwork on your desk and step into the digital future of smart Expense Management.

📊 Benchmarks New Filters

As everyone heads back to class, the Benchmarks platform will help you study salary data like a pro 🤓 with the latest changes, giving you a clearer understanding of the data behind the benchmarks:

  • Two new filters in the header:

    • Industry: filter by the first two levels of the NACE hierarchy (Sector and Division), supporting both single and multiple code selection.

    • Company Size: choose from small, medium, and large.

  • A new datapoints transparency feature: an info button on the Datapoints and Companies card opens a pop-up panel, showing datapoint numbers by Industry and Company Size.

  • Two more data factors in the Salaries grid:

    • Minimum: the salary value at the 5th percentile mark.

    • Maximum: the salary value at the 95th percentile mark.

🕘 Attendance

🛠️ Fixes and Improvements

  • When an employee’s start date falls mid-way through the target attendance interval, excess hours are correctly calculated based on the pro-rated target hours rather than the full interval target hours, as intended.

  • We’ve improved overall performance in the Device Manager, especially in how BioPhoto activities and biometrics are processed behind the scenes. As a result, users can now clock in smoothly without activities getting stuck in the 'In Progress' status.

🏢 Hiring

🛠️ Fixes and Improvements

  • The Schedule Call with Outlook feature in the candidate's profile has been updated to correctly reflect the product. The blue button now displays 'Create Meeting' instead of 'Create Meet', ensuring consistency and accuracy when creating calls in Outlook.

  • A text error in the Hiring Pipeline has been corrected. The stage previously labelled as '2st Interview' now correctly reads '2nd Interview'.

  • Applicants applying to multiple companies within a group or different tenants were not being redirected to the correct URL when viewing their applications. Now, Hiring properly switches the URL and logo to match the company associated with each application, ensuring a more accurate and consistent user experience.

  • Clicking on an employee in the Employee Carousel now correctly updates and shows the corresponding employee information, enhancing the functionality and interaction with this feature.

👨🏻‍💼 HR

  • You don’t want to get detention before the bell even rings, and your employees shouldn’t be locked out 🔒 of the Employee Portal before their actual termination date either. That’s why we’ve updated the Lock User From Portal button to behave more intuitively: it now triggers a lock only when the termination date arrives, or applies immediately if the date is already in the past.

  • The Applicants screen was upgraded to get ready for the first school term! The applicants import process now supports mandatory custom fields, ensuring all required information is captured in the Employee List. No more forgetting your data at home. 😅


🛠️ Fixes and Improvements

  • We’ve ensured that when importing proficiency ratings in Skills & Training, the system only accepts values between 0 and 5, including 0.5 intervals.

  • Training & Certifications imports now validate and accept credit values up to 999 and hour values up to 9999, including decimals.

  • The Skill & Training module correctly maps and displays the appropriate awarding body for each assigned training, without erroneously changing it upon saving.

💸 Payroll & Leave

  • Imagine the teacher 🗣️ calling out names, and you’ve just stepped out for a moment—yet you’re marked absent for the whole lesson. Not exactly fair, right? Though fairness is what we aim for in Indigo. That’s why we’ve introduced a new Payroll Setting: Full-Day Sickness Benefit Rules. The setting checks whether, after a 3-day absence, the fourth sick day covers a full working day before applying the Sickness Benefit deduction. If the absence is only partial, the system skips the deduction, keeping everything accurate and compliant with Malta’s Sickness Benefit regulations.

  • Speaking of Payroll Settings, two new options have been added to help you stay in the loop when IBAN details change:

    • Enable email notification on IBAN Change and Enable email notification on IBAN Change. And;

    • Email address(es) of people that need to be notified on any IBAN changes. Separate multiple emails with a semicolon ( ; ).

      These settings make sure selected people get notified ✉️ via email whenever an IBAN is added or modified in the employee form. Just like the bell rings to let you know it's break time. ​


🛠️ Fixes and Improvements

  • The timeout for the Anonymise Data scheduled command has been extended from 3 to 10 minutes, helping prevent failures for tenants with larger databases.

  • You can edit Key Results, including changing the measurement type from 'Numeric' to 'Percentage', without encountering any error messages.

  • In the 9-box grid:

    • The view now reflects the selected date range, with dates consistently formatted as DD/MM/YYYY across the page and related modals.

    • Employees are exclusively plotted when they have values for both X and Y axes and not for just one of them.

    • The percentages are now displayed and calculated as intended.

    • The employee count at the top of the grid aligns with the data displayed within the grid as expected.

    • The Review Scores grid now correctly displays all columns when multiple are selected.
