Creating Allocations in Indigo Business

Learn how to create stand‑alone allocations to clear outstanding transactions

Introduction

If you come from this article, you now know that sometimes transactions can still remain outstanding in the system because:

  • Either money was paid on account and not immediately allocated to a transaction, or

  • No actual money was received or paid, although transactions are offsetting each other (e.g. invoice and credit note)

A stand‑alone allocation is what helps you clear a transaction outstanding balance.

Both Sales and Purchase Allocation screens looks the same and share functionalities, thus you can follow the steps below regardless of which record you need to create.


Creating Sales and Purchase Allocations

To create a stand-alone sales or purchase allocation, navigate to Sales/Purchases > Sales Allocation/Purchase Allocation.

The Allocation Details

  1. Select a client or a supplier from the Business Account field.

  2. Select the Date and a Gain/Loss Account.

  3. Select Save to confirm the details and display the outstanding transactions for the selected client/supplier in the Transactions tab.

Allocating

  1. Tick the outstanding transactions from the grid in the Transactions tab.

  2. Keep an eye on the Allocation Amount field at the bottom of the screen to know how much you're allocating across the transactions.

  3. Check the Items tab if unsure about the details of the transaction.

Summary & Posting

  1. Have a final look at the summary section at the bottom left of the screen.

  2. Select Post and confirm you want to post the allocation.

Alternative Paths

You can post an allocation also from:

  • Sales/Purchases > Clients/Suppliers > select a client > Posting.

  • Business Accounts > Clients/Suppliers > select a client > Posting.

Where can I see the Postings?

You can find them in:

  • Sales/Purchases > Audit Trail > Allocations tab

  • Business Accounts > Clients/Suppliers > select client > View sales transactions/ View purchase transactions button > Allocations tab

  • Nominal > Audit Trail
