Introduction
The Client Statement Report generates a statement of account for clients, showing the transactions that remain outstanding as at a selected date. Grouped by client and displayed in the client's currency, it can be used to communicate account balances and follow up on amounts due.
You can run the report in two formats, depending on how much detail you need:
Summary provides a concise overview of outstanding balances and transactions for each client.
Detailed shows the individual transaction lines behind each balance, providing clients with additional information about the entries that make up an outstanding amount.
The steps below explain how to run the report in Indigo Business and describe the available options.
Running the Report
To run the report:
Go to Sales > Reporting > Client Statement Report.
The Client Statement Report page will open.
Set up the Report Options:
As at Date: enter the date up to which the outstanding transactions are included in the report. By default, this is today’s date and cannot be set to after the end of the current financial year.
Show Zero Balances: it shows business accounts with no outstanding transactions, meaning their total outstanding balance is zero.
Detailed Report: tick it to run a detailed report, untick it to run a summary report.
Filter and select the data you want to report on in the left grid, as needed.
Choose the report format and generate the report at the bottom right of the page.
⚠️ Important: User permissions and active system record filters influence the data displayed in the report selection grid and the resulting report. Excluded records may cause incomplete figures or unexpected totals.
The Result
The Client Statement Report can be generated in PDF or Excel format as either a Summary or Detailed report. Both report types have a similar layout:
Your company details are displayed at the top (right side in PDF, left side in Excel).
Below the company details:
The client's name, address, and VAT Registration Number.
The report date, business account code, and page number.
The Statement of Account grid follows.
After a successful run, the Summary and Detailed reports display the following columns: Date, Tran Ref, Original Amount, Debit, Credit, Balance (€).
📋 Note: The Balance (€) column displays the client's running balance. Starting with the first balance shown, each subsequent balance reflects invoice amounts added, and receipts or credit notes deducted. Item and VAT lines are shown for information only and do not affect the balance.
