Overview

Rules tell the Approval System how to behave and what to do according to the scenario specified. For example, you can decide when a rule applies, or which employees can apply on their own behalf or for others.

You can also decide to auto-approve in specific circumstances, and who can process requests, or even set up separate rules for Overtime and Expense Requests.


The Rules Screen

In the Rules section, you can view, manage and edit your existing rules, as well as create new ones.

Get to the Rules screen by navigating to Approval System > Overtime or Expense > Rules.

Here you'll find a toolbar and a grid listing all the rules for either Overtime or Expenses, depending on your previous selection.

The Toolbar

The Rules toolbar contains the standard 🔄 Refresh, 🔽 Filter, 🔍 Search, ⚙️ Column Selector (to choose the columns to display), and Close actions, along with three more:

  • View Type: this dropdown lets you choose which Rules to view in the grid. (e.g. Overtime or Expense)

  • Priority: use this button to define the order in which approval rules are applied.

    • When a request matches multiple rules, the Indigo Approval System uses the rule with the highest priority. To reorder rules, drag and drop them using the handle icon on the right.

  • ➕ Add Rule: click this button to add a new rule.

👀 You can activate or deactivate a rule directly from the grid via the toggle switch under the Active column.

The Grid

In the Rules grid you'll see the following default columns:

  • Name: the name assigned to the rule.

  • Submission Type: it displays if the rules applies to self submission (Self), submissions on behalf of someone (On Behalf Of), or Both.

  • Approval Type: the approval condition set up for the rule (All must approve, Anyone can approve, Approved in sequence, or Approved by Priority)

  • Action Type:

    • Custom: if you customised the Approval Type.

    • N/A: if you set the rule to auto-approve or auto-reject.

  • Criteria: the number of criteria you set up for the rule.

  • Approvers: the number of approvers involved in the approval process.

  • Priority: the priority level assigned to that rule.

  • Active: use the toggle switch under this column to activate or deactivate the rule.

  • Buttons:

    • Copy: use it to duplicate an existing rule.

    • Edit: use it to edit an existing rule.

    • Delete: use it to delete a rule.
