Introduction
Sometimes you need to look back at the transactions that make up a balance, find a specific document, or review your clients or suppliers activity for a particular period. The Sales Audit Trail Report and Purchases Audit Trail Report make this easier by providing a chronological record of transactions posted to your sales and purchases ledgers.
Generate a Summary report for an overview of each transaction or a Detailed report that includes individual transaction line items.
Both reports work in the same way. To keep the instructions easy to follow, this article refers only to the Sales Audit Trail Report, but the same steps apply to the Purchases Audit Trail Report.
The Report
To run the report:
Go to Sales (or Purchases) > Reporting > Sales Audit Trail Report or Purchases Audit Trail Report.
The Sales Audit Trail Report or Purchases Audit Trail Report page will open.
Set up the Report Options as needed:
Date from: enter the date you want to the report to start from.
Date to: enter the date you want to the report to end.
Detailed Report: tick it to run a detailed report, untick it to run a summary report.
Filter and select the data you want to report on in the left grid, if necessary.
Note: in the Business Accounts tab you can select specific clients or suppliers to report on.
Choose the report format and generate the report at the bottom right of the page.
⚠️ Important: User permissions and active system record filters influence the data displayed in the report selection grid and the resulting report. Excluded records may cause incomplete figures or unexpected totals.
The Result
Summary: PDF and Excel
After a successful run, a summary report will display the following columns: Tran. ID, Date, Tran. Ref., Ext Ref, Code, Name, Due Date, Curr, D/C, Foreign, For. VAT, Local, Local VAT, Created On, Created By.
Detailed: PDF and Excel
Successfully generated detailed reports include the following columns: Tran ID, Date, Tran Ref, Ext Ref, Code, Details, A/C Code, Created By, Curr, D/C, Foreign, Local, Local VAT, Total.
