Creating dynamic break rules with attendance profiles

You can set up dynamic break times for employees in your system with the attendance profile and break rules support files.

Indigo Attendance allows you to create dynamic break times for employees in your system. This is an especially useful feature to be used for employees whose break hours stem from the amount of time that they work (for example, 15 minutes break for attendance up to 4 hours).

This process works by the system checking the attendance duration of an employee, and then allocating the break times accordingly. This affects payroll calculations as it will ensure that the system will not calculate pay for break hours.

To set up dynamic break timing rules for your Indigo system, you will need to create an attendance profile with break support files. You can then link the attendance profile with break support with employee profiles. Dynamic break rules only apply to employees with linked attendance profiles.

Please note that using attendance profile with break rules overrides the break rules established in your shift presets.

First, an attendance profile needs to be created. To create an attendance profile:

  1. In the left sidebar of Indigo, click on Payroll.

  2. In the Employee Setup section, click on Attendance Profile.

  3. Click on Insert (+) in the functions bar.

  4. Enter the details of the attendance profile.

  5. When finished, click on Save (check mark icon) in the functions bar.

  • Code - create a unique code for the attendance profile.

  • Description - enter a description about the attendance profile.

  • Maximum Shift Hours - enter the maximum duration of the attendance profile.

  • Earliest Clocking-in Time - set the earliest hour at which the employee can clock in for work.

  • Latest Clocking-out Time - set the latest hour at which the employee can clock out from work.

  • Rounding Interval - enter the interval at which clockings will be rounded. For example, a rounding interval of 15 would round clockings to 8:15, 8:30, 8:45, 9:00, and so on.

  • Rounding Type - choose how the system will round clockings: floor, ceiling, or standard rounding.


Setting up break rules

With the new attendance profile selected, you can now add break rules for the profile:

  1. Click the Breaks.

  2. Click on Insert (plus icon) in the functions bar.

  3. Create a code for the break rule, and select the attended hours range from/to and allocated break minutes for the profile.

  4. Click on Save (check mark icon) in the functions bar.

After creating the first break rule, the system will prepare a subsequent break rule with an attended hour range from value of +1 minute.


Link attendance profile to employee profile

With the attendance profile with break rules ready, you can link the profile to any employee in your system. To do this:

  1. In the left sidebar of Indigo, click on Payroll.

  2. In the Main section, click on Employees.

  3. Open the employee profile for whom you want to link the attendance profile.

  4. Under Attendance Details, select a profile in the Attendance Profile field.

  5. Click on Save (check mark icon) when finished.
