Configure Leave Approvers

Overview

The Organisation Chart offers a visual representation of leave approvers and the relationship to their peers. It can be accessed from HR > Employee Setup > Organisation.

  • Each employee can be added to the Organisation Chart as a manager and/or reportee.

  • Higher-level positions act as approvers to the lower grades.

  • Each different colour represents a different department within the company, which colours are automatically assigned by Indigo Payroll when creating new Departments.


Adding an employee to the Organisation Chart

  1. Find the required approver.

  2. Click on their entry once to expand into a full icon.

  3. Next, search for the employee you would like to add in the left-hand prompt.
    ​​

  4. Then click and drag the employee to the approver icon and let go. This will sort the employee at one level lower than the approver, indicating that the approver can now approve the employee's leave.

  5. Once ready, click Save 💾 button to commit all changes.


How to Replace a Leave Authoriser in the Organisation Chart

In any company, people come and go, and sometimes you may need to replace an approver with a new one, who will inherit their subordinates.

Let's say that the new approver (Bruno) will be Marta's subordinate and will replace Malat taking her subordinates under him (refer to the chart below).


To achieve this:

  • Click on the new Authoriser's superior (e.g. Marta) to expand the card.

  • Drag and Drop the new Authoriser (e.g. Bruno) on the Superior's card (e.g. Marta) on the chart.

  • Click on the new Authoriser card to expand it as well.

  • Drag the previous (old) Authoriser (e.g. Malat) on the new Authoriser.

  • Note that the old Authoriser is now right below the new Authoriser (as his Subordinate).

  • Remove the old Authoriser from the Chart 🗑️.

  • Allow the system to put the subordinate under the new Authoriser (first Option).

  • Only press Save 💾, on the left side of the chart, if you are satisfied with your changes, otherwise refresh the page and try again.
