Create Leave Hour Schedules to Accommodate Night Shifts

Shireburn Indigo Payroll handles night shifts in a very similar manner to normal working hours, with some differences lying in how leave is calculated.

Go to Payroll and Leave > Leave > Leave Hour Schedules.

To create a new schedule, click on the Create button, and add a new schedule for Night Shifts. Here, we've given it 'NIGHT' as a Code, '8 Hours Night Shift' as a Description, and in the "Maximum Hours" field, '8' was entered, since the shift is 8 hours long.

Click on the Save icon, then click the Dates tab at the top right side of the screen.

Here, we will be inputting the dates in which the Schedule is valid. We will be entering an arbitrarily large date so that the Night Shift schedule is always active. Click on the Create button, and enter the data accordingly.

Next, click on the Details tab at the top right side of the screen.

We will be creating a profile for 8 hour night shifts, starting at 10pm and finishing at 6am. As an example, the preset leave that can be taken will be split into:

  • First Half - 10pm till 2am

  • Second Half - 2am till 6am

  • Full Shift - 10pm till 6am

  • Hours - Any number of hours between 10pm and 6am

This will allow employees to apply for leave easily by simply selecting a schedule that applies for them. Click on the Create button, and create each schedule accordingly.

To assign this profile to an employee, go to HR > Main > Employees, highlight the required employee and click Edit. Scroll down to Leave Details and select the Hour Schedule.
