Introduction


There are three Device Manager-related reports in the Attendance module, which will keep you informed about all updates within the Device Manager feature: Device Manager Audit, Device Uptime Device, and Access Control Audit. These reports cover records amendments, the duration a device stayed offline, and who accessed a device when the Access Control option is enabled.


Device Manager Audit

Run the Device Manager Audit Report if you want to track 📈 any action taken on Device Manager. If you notice changes to your devices or unexpected activities , this report will show who did what and when, helping you quickly address any issues.

The results will be displayed in seven columns:


AuditId: every recorded Audit result has its own identifier, which will show in this column

DocumentType

There are eight possible values:

  • Device (changes related to the device itself e.g. change in Location)

  • Device Activity (when an activity is created, deleted or reprocessed)

  • Device Manager Settings (modifications related to the devices settings)

  • Device User (when a device user is created, updated or deleted)

  • Device User Biometric (it refers to creation, modification or deletion of the recorded biometrics)

  • Device User Employee (it refers to Importing Indigo Employees to Device Manager which will automatically create a matching Device User id for them)

  • Device User WorkZone (it is related to the bulk attachment (or detachment) of Device Users to Work Zones

  • Device Work Zone (it records changes related to Work Zones e.g. work zone creation, amendment or deletion)

Action: it displays the action type performed (View , Insert, Update or Delete)

Description: It summarises the actions taken and identifies who performed them.

CreatedByFullName: it shows who exactly generated that audit line
OldValue: The value before the amendment
NewValue: The value after the amendment

Before running the report you can choose to narrow down your results by selecting a date and time range, a specific Document Type or the Action Type ('Options' section). In addition to that, you can previously ask the report to sort the results and group them by 'Document Type', 'Action Type', and 'Created By' ('Grouping' section)

In the 'Template' section, you can currently only choose 'Standard' as an option.

Under Actions, you can choose to tick 'Remember generated report settings' to save your settings for future use.


Device Uptime

The Device Uptime report helps you keeping a close eye 👀 on the devices polling activity to ensure your data is smoothly processed in a timely manner. Since devices might stop polling data (searching for activities to process) for more than an hour, the system generates audit records for them. These records note the date and time frame when the devices did not poll and reconnected again, which will be displayed in the Device Uptime report.

🗒️ Note

If a device is offline and there is no record, it means that the device has not re-connected to Indigo, and the device will still be showing as offline in the My Devices screen.


As for the other reports in Indigo, you can group your results, remember the generated report settings, generate the report in different formats, and send it via email. You can achieve all this by using the right drawer.


Device Access Control Audit

The Device Access Control Audit report is incredibly useful to maintain a secure and efficient environment. Run it to be updated on who accessed a specific Work Zone or Location and when.

You can control your current and future report outcome by group the results by a specific value and remembering its settings. You can also generate the report in different formats, and send it via email.

🤔 Remember

If you do not set a device to be an Access Control Device, no results will be visible.

The report details are divided into the following columns:

  • Employee Code

  • Full Name (the Device User's full name)

  • Device Serial Number

  • Device Description (how you named the device)

  • Clocking Date (the date the person accessed the area through the device)

  • Clocking Time (the time the person accessed the area through the device)

  • Work Zone

  • Location


Common Actions for Device Manager Reports


On the bottom of the right drawer of each of the above mentioned reports, there is a set of buttons: Generate PDF and Send Report. Let’s explore the functionalities of these buttons in detail.

Generate PDF

Click on this button if you want to generate the report in PDF format. If you just hover your mouse over the arrow near the Generate PDF button, three other options will appear:

  • Generate Report Viewer: select it to generate and view the report in an online viewer.

  • Generate Merged: This button will generate and view the report in an online viewer merged into a single, contiguous document.

  • Generate Data Only As Excel: Use it to generate the report with data as an Excel sheet.

Send Report

This button allows you to send the generated report by email to whomever needs to consult it. When selecting it, a pop-up window will show. Fill in Email To, Subject, and edit the text in Additional Message if needed.

When your message is ready, click Send Report Link on the bottom right of the pop-up, or hover your mouse pointer over the arrow next to it and choose from Send Report as Excel Attachment and Send Report as PDF Attachment.
