Importing Jobs and Applications to Hiring

Learn how to import jobs, applications, and candidates into Indigo Hiring using the Bulk Import feature.

Integrating Indigo Hiring to Your Existing System?

We understand that Indigo Hiring might not be your first ATS, and that’s perfectly okay. In fact, we're thrilled to have you with us! 😉

To make the move a little easier, Hiring lets you import your existing jobs and applications from other ATS platforms, so there is no need to recreate them from scratch. From the Bulk Import from Excel screen, you can:

The process is very similar for all three options. Click the option that suits your needs to jump straight to the relevant steps, keep reading to learn about all three. ⬇️


Importing Jobs With and Without Applications

Whether you have only jobs or jobs with associated applications to import, the process begins from the Your Jobs screen—home of the Your jobs grid.

  1. Access the Your Jobs section and select the Bulk Jobs Import button.

  2. In the Bulk Import screen, select one of the following options:

    • Only Jobs: imports jobs and ignores any existing associated applications.

    • Jobs and Their Associated Applications: imports the jobs and any relevant applications (if present).

  3. ☝️ Use the button in the Important box to download the sample file for your selected import type.

  4. Review the downloaded sample file, complete the required fields and save it.

    • Jobs imports: only Closing date is optional.

    • Imports with applications: only Date of birth, Gender, Resume URL and Cover letter are optional.

      • ⚠️ Warning: Please keep the file's original structure and save it as .csv file. Otherwise, the import may fail.

  5. Upload the sample file from the Bulk Import screen:

    • Either drag and drop the file into the designated space under the Important box.

    • Or click in the designated space to browse and select the file from your computer's documents.

  6. Click the blue Import button and wait for the process to complete.

Once the import is finished, the Bulk Import Successful message appears. Select Show result to go back to the Your Jobs section and review your imported jobs and applications.

The Expected Result

Freshly imported jobs are shown as drafts at the top of the list in the Your jobs grid.

If you also imported applications with any of your jobs, the values in the Applications, Views, and CR columns will also update.
Imported applications are placed in the Unrated phase by default. 👇

🧠 Reminder: in imports including associated applications, there may be jobs that have applications, and jobs that don’t have any at the same time.

After the Import

From here, you can:

  • View, Publish, Duplicate, Edit or Delete your imported jobs using the three-dot menu at the end of each row in the You Jobs grid.

  • View all applications that have been imported by association from the grid in the All Applications section, or in the relevant job's description under the Applications tab. Open the applications to view and edit them as needed.

📋 Note: you can edit and manage your jobs and applications provided your user has been given the necessary role and permissions. This means that the actions available in the menus and in the screens might change.


Importing Existing Applications to Jobs Published on Hiring

Bulk importing existing applications to a published job on Hiring is quite similar to the process highlighted in the previous process. The key difference lies in the initial steps to get started.

  1. Click the required published job to open and view it. You can find these jobs in the My Jobs grid in the Dashboard, or in the Your Jobs and Careers sections.

  2. In the job's information screen, click the Applications tab and select the Import Applications button.

  3. The Applications tab grid is replaced by the Bulk Import from Excel screen. Click here and continue from step 3 of the previous process.

After the Import

After a successful import, you'll see the results in the relevant job's information screen. There, you'll find the newly imported applications under Applications > Unrated.

To organise these applications, select the applications you need and use the Bulk Actions button in the same screen to move them to their appropriate phase.
