Integrating Indigo Hiring to Your Existing System?
We understand that Indigo Hiring might not be your first ATS, and that’s perfectly okay. In fact, we’re thrilled to have you with us! 👋
The best part? Hiring comes with an import function for your existing jobs and applications from other ATS platforms, so there’s no need to spend countless hours redrafting any of them.
From the user-friendly Bulk Import from Excel screen, you'll have the option to:
Import jobs.
Import jobs and their associated applications, if any.
Import existing applications for jobs that you already have published on Hiring.
The bulk 😉 of the process for each option is mostly the same. It’s just a matter of clicking the right button to begin. In a nutshell, if you need to do either of the first two options, then the instructions in the section right below are for you. If you need to do the third option, then please jump to the last section. ⏬
Importing Jobs With and Without Applications
If you have only jobs or jobs with associated applications to import, the process begins from the Your Jobs screen—home of the Your jobs grid.
Access the Your Jobs section from the site's header and click the Bulk Jobs Import button.
In the Bulk Import screen that opens, select the type of import that suits your needs from the following options:
Only Jobs: This option will ignore any existing applications that the jobs may have associated with them.
Jobs and Their Associated Applications: This option will include the relevant applications, and can handle both jobs with applications and jobs without applications simultaneously.
Download the sample file using the button provided in the Important box.
⚠️ Note: the sample file you download will be different according to the choice you selected in step 2. In fact, the same choice also slightly changes the wording in the Important box and on the download button.
Review the downloaded sample file and fill in all of the required fields with the appropriate job and/or application data
For jobs imports, all fields are mandatory except for Closing date.
For imports including applications, all fields are mandatory except for Date of birth, Gender, Resume URL and Cover letter.
⚠️ Warning: Please maintain the file’s original, correct structure and format throughout. Otherwise, errors may arise at the end of step 6, such as when the file being uploaded is saved as any type other than .csv or when its data structure has shifted during data input.
Save the sample file and upload it. There are two ways you can upload:
Drag and drop: Drag the file and drop it into the designated space in the Bulk Import window (beneath the Important box).
Click to upload: Click the designated space to open your computer’s file explorer and select the file from your documents.
Click the blue Import button and wait for the process to complete.
The Expected Result: Jobs
After a short while, the process will finish and you will see the Bulk Import Successful screen. From here, you can finalise the process by clicking Okay or review the results (recommended) by clicking Show result.
Clicking Show result will take you back to the Your Jobs section, where you will find your freshly imported jobs at the top of the list as drafts.
At this stage, you can review each of the new listings, edit them, and finally publish them. You can also duplicate or delete any of these jobs.
📋 Note: All of the actions mentioned above and others are available from the three-dot menu at the end of each row in the grid. The precise number of actions available in this menu are dependent on your user's current permission setup, and the current status of the relevant job.
Applications
If you also imported existing applications alongside any of your jobs (from step 2 above), the result will be the same. However, you will notice that the number in the corresponding Applications, Views, and CR columns in the Your jobs grid will be higher than 0 if the job had any applications before it was imported.
🧠 Reminder: In imports including associated applications, you can have jobs that have applications and jobs that don’t have any at the same time.
You can view all applications that have been imported by association from the grid that's available in the All Applications section, or in the relevant job's description under the Applications tab. By default, said applications will be in Unrated phase, and can be edited and interacted with like any other job application on your profile, provided your user has been set up with the appropriate roles and permissions.
Importing Existing Applications to Jobs Published on Hiring
Bulk importing existing applications to a published job on Hiring is quite similar to the process highlighted in the previous process. The key difference lies in the initial steps to get started.
Click on the required published job to open and view it. You can find these jobs in the My Jobs grid in the Dashboard, or in the Your Jobs and Careers sections.
In the job's information screen, click on the Applications tab, which is found right under the header containing the logo and job title.
Click the Import Applications button.
You will now be working with a different version of the Bulk Import from Excel screen, which is described in more detail in the sections above. To continue importing applications to published jobs, click here and scroll down to resume the process from step 3.
📖 After the import:
After a successful import, you'll be able to see the results in the relevant job's information screen. There, you'll find the newly imported applications under Applications > Unrated.
To organise these applications, you can select the applications you need and use the Bulk Actions button on the same screen to move them to their appropriate phase.
