Hello Indigo users,
Where did January go?! It feels like it was never here. While we figure that out, why don't you dive into our first February update? It’s a big one!
One major enhancement is Device Manager supporting BioPhoto, which will help your security devices process scans of your pretty mug 👨 👩 more smoothly and improve biometric compatibility.
Another one is for our users migrating to Hiring from another ATS: the new bulk import from Excel feature is going to make transferring jobs and applications effortless. 😎
We’ve also made plenty of smaller but impactful tweaks—enhancements to the Employee Directory, UI improvements in Performance Management, and streamlined layouts in Attendance, Payroll & Leave, and HR.

Platform
Notifications for employee requests to update their details will now include a direct link to that employee’s profile for faster access.
We've made several enhancements to the Employee Directory—here’s what’s new:
The grid state is now saved, just like in Clocking Data.
The Contact Numbers column is now hidden by default to reduce clutter and prioritise key information.
The missing magnifying glass for the Unit column has been found and added—though you might’ve needed one yourself to notice it was gone! 😉
Two new settings under HR > Employee Settings > Employee Directory Settings allow you to show or hide employees' telephone and mobile numbers.
Attendance Enhancements
Emails that are sent in cases of location 🗺️ mismatches will now start including the scheduled shift time in their scheduled shift section, ensuring clarity for the employee, mismatch location manager, and correct location manager.
The Device Access Control Audit Report has been enhanced with a new Device filter, accessible via a tab at the top. This allows users to filter punches by any device available to their tenant.
The grouping level is now optional, so clockings can be displayed in Date/Time descending order if no grouping is selected.
The Cost Centre is now included in the report.
Additional quality-of-life improvements include increased column spacing and a merged date/time column for better readability.
Device Manager
Device Manager now supports the BioPhoto biometric! With this feature, when your device scans your face, a BioPhoto is captured alongside your Face ID. This generates a generic snapshot of the user’s face, enhancing compatibility between devices for seamless biometric functionality.
This feature is supported on Speedface V3L, V4L, V5L, and Pro Face X devices.
Attendance Fixes and Improvements
Indigo will no longer generate extra overtime when clocking data is incorrectly linked to multiple allocations on the same day.
We've enhanced the calendars in the Attendance Exceptions screen, including improvements to the month and year navigation arrows.
Hiring Enhancements
If Indigo Hiring isn’t your first ATS and you have existing jobs and applications you'd like to transfer, our new Bulk Import from Excel 📥 feature is here to help!
With just a few clicks, you can import jobs, jobs with applications, and applications into jobs already on your Hiring profile—saving you the tedious task of recreating everything from scratch. Check out the full process here!
You can now choose which columns to include in the All Applications grid, as well as sort several columns in ascending and descending order.
Find particular job openings quickly and easily in the Careers Page thanks to the newly added search bar.
There are multiple changes throughout Hiring that let you give adequate access to recruitment agencies and better control what they can do across the platform.
There's a new section in the single job's Access Control tab that lets you assign or edit agency access.
You can now specify whether a recruitment agency has full access to Your Jobs or only to specified jobs.
Agencies can only add applications to jobs to which they have access.
We've renamed the 'People with Access' tab to 'Access Control' for better clarity.
Hiring Fixes and Improvements
Users are shown a clear message when attempting to access a chat they've been deleted from.
Unread/New statuses update as expected in the All Applications grid.
In the Careers Page, saving changes to the Jobs block in grid view is working as intended.
Vacancies show as expected when in Edit Mode in the Careers Page Builder.
Clicking the invitation email link now redirects to the login page right away.
When clicking the link in a Member Mention email, you'll be taken right away to the respective Team Discussion chat on the Application page.
Member Mention emails are also showing user names properly instead of IDs.
If you happen to click on an invite email when you're already authenticated and logged in, you'll remain logged in.
In the External Integrations page, users without the correct permissions will now see the Connection button and also be informed that 'You do not have permission to perform this action.' when clicking it.
We've improved the Salary section on the Job Creation page to be easier to use.
Publishing jobs and accessing the 'Get More Applicants' tab in individual jobs are working as expected.
A job's settings will now save even if the email field is empty.
We've added a handy link to our Help Centre to the 'Learn More about this Connection' link for the KeepMePosted integration.
As KeepMePosted have updated ⚙️ their website, we've made sure the integration on our side is perfectly aligned with their new platform.
The message given when trying to log into an account without a password has been updated as follows:
'This account doesn't have a password set up. Please use the password recovery option or log in using the social account you registered with.'
We've renamed 'Secret Notes' as 'Notes' across Hiring for simplicity's sake.
When viewing Hiring or a company Careers Page on mobile, you'll notice the chat icon is now in a better position.
Recruiters will now be shown a clear message when trying to access any job they don't have permission to view.
Files deleted while editing a single job remain deleted on saving.
HR Fixes and Improvements
Editing records in the Position History tab and sending them to payroll now works as expected, with changes accepted as long as standard conditions are met.
Fields in the tab now also load their content immediately—no need to refresh 🔄 the page or click around!
We've reduced the priority of daily email notifications, allowing them to run quietly in the background—keeping the CPU free for those 9 and 10 AM rush-hour tasks. 🚗 🚗 🚗
Document Manager
Perseverance is a great trait, but files that refuse to be deleted are just plain stubborn. 🙃 Files previously linked to tasks can now be properly deleted from the Document Manager once their link is removed.
Skills & Training
A minor UI issue has been resolved where the selected row in the grid on the Import-Export and Setup pages matched the background colour, causing confusion.
Task Management
To prevent potential permission confusion when editing a Task Template’s assignee, we've introduced a new permission called HR_SpecificEmployees. This has been automatically added to all permission sets that previously included HR_ApprovalRules, ensuring users with Approvals and HR Task Management can continue their tasks without disruption.
We've added a system category for Task Management templates called 'Default', which will collect any templates not assigned to a category. This prevents errors—and worse, black screens—by ensuring no template is left behind. 💪
Importing templates now works smoothly, free from 'object reference' errors.
The All Tasks grid now correctly displays the relevant actions based on the selected settings.
Users can now download Task Management attachments they have access to, as expected.
We've made a minor UI adjustment to the task viewing screen.
Payroll & Leave Enhancements
A new setting has been added to Payroll > Settings > Leave called 'Restrict Cancellation for Admin Leave Entries.' With it, administrators can now restrict employees from requesting the cancellation of leave entries created via the Leave Request Audit and Leave History tab. This helps maintain consistency and intent in administrative entries.
The FS4 document format has been updated to align with 2025 regulatory changes, specifically the revised income threshold for the 'Persons returning to Employment or Total Income' category (B5).
A new SEPA file format has been added for Banca Popolare di Sondrio (BPS).
Payroll & Leave Fixes and Improvements
'Data at your fingertips' 📈 is a quality of Indigo that we take pride in—but sometimes, less is more. The Pay Off and Write Off utilities will no longer display advanced payroll codes in the selection, as they are not relevant in this context.
Employees can apply for leave even on their termination date when using the Indigo Mobile App.
In the Leave Request Audit, cancelled leave entries will now remain greyed out as expected, even when scrolling or hovering.
Performance Management Enhancements
In our ongoing quest to protect you 🛡️ from frustrating progress losses, we've added a warning message when clicking Back while creating or editing an objective, template, review, or feedback request.
Additionally, we've added a Save & Next button to the Objective creation screen, making it easier to save your progress and seamlessly start a new objective.
When you create a new objective, Performance Management is going to start taking into consideration from where you started the creation process and return you to that screen once you're done.
Performance Management Fixes and Improvements
We've improved the user interface and experience across several Performance Management screens:
All grid content is now left-aligned for consistency with the header row.
The blue section in Reviews has been subtly adjusted to better align with our design system.
When viewing reviews, the three-dot menu now sits to the right of the review status.
On the Templates screen, the cursor now changes to a pointer 👆 when hovering over clickable cards, as expected.
Question tags now always appear when creating templates, removing any guesswork.
The Check-In Audit Log in Objectives now displays the grid correctly.
Empty state screens now have a white background instead of grey.
