Importing Data in Indigo Business

Learn how to import data from scratch or to modify existing records in bulk in Indigo Business

Introduction

As we've introduced in this article, you can import data:

  • From grids: data is imported right into the grid.

  • From the Drafts screen: records are imported as drafts and need be checked before pushing them into the relevant grid or ledger.

In this article we'll guide you step by step to cover both scenarios. ⬇️


Importing

You can import data from the grids compatible with the importing process or from the Drafts screen. The result will change according to the selected method.

Import from Grid

Choose this method if you want the imported data to appear directly in the grids, without going through the draft phase first. This method only applies to support files (Nominal Accounts, Business Accounts etc.)

1. Upload File

  1. Modify the data or fill in the template accordingly and save the file in csv or xlsx format.

  2. Select the Import button at the top left of the grid.

  3. In the Import window, select the destination folder on the left.

  4. Click on Select file to browse the file from step 2.

  5. Select Upload.

2. Review

  1. The uploaded records will appear in a grid.

  2. Review their details in the Content panel.

    • If something looks off, modify your import file and click on Re-upload and proceed from the step 4 above.

  3. Select Commit, when ready.

  4. Select Commit once again.

📋 Note: You can only change fields, either manually or through import, that do not affect posted transactions. Otherwise, an error appears when committing the import. For example, a VAT Rate cannot be changed once used, but the Name can.

3. Import Result

  1. The records will be displayed in Committed status.

  2. Select Finish to exit the window.

  3. The records are now showing in the relevant grid (e.g. VAT)

Import from Drafts Screen

Choose this method if you want an extra layer of control over what gets imported into the system.

Don't forget to modify the exported data or fill in the downloaded empty import template, and save either of those on your device before starting this process.

  1. Go to Drafts > Pending Drafts

  2. Select a tab:

    • Transactions if you need to import transactions

    • Others for all the other records

  3. Select the Import button at the top left of the tab's grid.

  4. In the Import window:

    1. Select what you need to import from the Select import type dropdown (Others tab).

      • When importing transactions this field is preselected and read-only.

    2. Select the destination folder on the left.

  5. Click on Select file to browse the import file you've previously prepared.

  6. Select Upload.

  7. The records are uploaded and tagged, and the Others, Business Accounts or Transactions grids automatically enable the Tagged Only switch to show only the records you've just imported.

🤔 Reminder: Records imported as drafts will not be visible in any other screen in the system but the Drafts one, unless you post or publish them.
