Manually Transfer Remaining Leave from a Terminated Profile to a new Profile

Introduction

When an employee is terminated, Indigo recalculates their leave entitlement from their start date up to the termination date. If the employee needs to be recreated with a new profile, for example due to a change in civil status or tax profile (e.g. Part-time to Main), the original profile may still contain unused leave. If you prefer to transfer this remaining leave instead of paying it off, you have to do it manually.

To accurately recalculate and transfer the leave entitlement, specific steps need to be followed:

  • At the termination stage

  • After terminating the old profile

  • In the newly recreated profile

The Steps

The Termination Stage

  1. Go to HR > Employees.

  2. Double-click on the required employee.

  3. In the employee's screen, click the Terminate Employee button.

  4. When the Terminate Employee window opens:

    1. Enter the Termination date

    2. Tick the below options:

      • 'Cancel All Leave After Termination'

        • ⚠️ Note: insert future pending leave in the new profile, or ask your employee to apply again from there.

      • 'Update Leave Entitlement'

      • 'Disable Leave Payoff'

  5. When you're ready, select Terminate.

After Terminating the old Profile

While in the old (terminated) employee profile:

  1. Go to the Leave Entitlement tab.

  2. Take note of the value in the 'Balance (excl. Pending)' column for each relevant leave type. (These form the newly computed and accurate remaining leave balance.​)

In the newly Recreated Profile

  1. In the employee's newly created profile, go to the Leave Entitlement tab.

  2. Edit each leave type to add the values previously noted to the current balance.

  3. Save your changes.

Example:

If the person has 10 hours left from their previous profile–and the system automatically calculated a Full-Time Leave Entitlement of 200 hours (pro-rata) in the new profile–then the HR would have to insert 210 hours in the Entitlement (hrs) column of the new employee profile.
