About Reversing
Reversing a transaction means creating a new entry that flips the original—debits become credits and credits become debits—cancelling it out.
You might think, “Why not just delete it?”. The answer is that deletions break the audit trail, risk compliance issues, and can impact balances and reports. Reversals keep everything accurate, transparent, and traceable.
In Indigo Business, there are two ways to reverse a transaction, using two different buttons:
Reverse
Reverse & Repost
Let’s see where to find them and when to use each one. 😉
Reverse
The Reverse button only reverses the original transaction, as explained earlier. You can find this button in the Audit Trail section of the Nominal, Sales and Purchases modules.
Reverse & Repost
The Reverse & Repost button is an extension of the Reverse button. Click the small arrow on the Reverse button to display it.
Use this button to reverse a transaction and automatically generate an exact copy of the reversed transaction, ready to be amended and posted again. The copy is titled Reposting of [reversed tran ID].
This is useful when reversing a transaction due to minor errors, as it lets you skip re-entering all the transaction details and simply fix what’s wrong. Once you're happy with the changes, click Post and you're good to go! A new transaction with its own ID is then generated.
But what if you're not ready to post right away? Don't worry, a reposted transaction draft is generated and saved in the background.
Reposted Transaction Draft
Similar to what happens when posting transactions, reposted transactions (after clicking Reverse & Repost) are saved as drafts if they're not posted immediately.
A pending reposted draft is easy to spot. Look for the orange compass icon next to the original reversed transaction in the Audit Trail grids.
A similar compass icon also appears as a button at the top left of the grid. Clicking Resume reposting of draft reopens the reposted draft. The Reposting of [reversed tran ID] opens, allowing you to edit (✏️) the transaction and post it when ready.
💡Tip: Your own reposted drafts are also visible in Drafts > Personal folder.
