How to Generate Clocking Details reports

Create daily or weekly clocking in and out reports from your clocking data and save them as PDFs, Excel spreadsheets, or send via email

What is the Clocking Details report?

The Clocking Details report provides a breakdown of all punches made by employees. Your Attendance system can be synced with the Indigo Mobile app or with your company's on-site clocking device. Punches received from either the app or a clocking device can be found in the Clocking Data page of Attendance.

The report lists your employees' punches, showing information such as the full name and employee code for each employee to help you identify them, and clocking data including the date, time in and out, total time, and weekday of each clocking record. If any remarks are available, these will be shown too.


Running a Clocking Details report

  1. Go to Attendance > Reporting > Clocking Details.

  2. In the Employee tab, select the required employees by checking the box next to their names, or leave these unchecked to run the report for all employees. (If you run the report now, all leave types will be included. Go to the Leave Type tab to choose specific leave types if you want information on only specific ones instead.)

  3. From the Options menu on the right, choose your settings and date range. (See the Clocking Details Report Settings below for detail.)

  4. Choose your preferred Grouping levels, if needed.

  5. Click Generate PDF to produce the report in PDF format.

The generated Clocking Details report will open in a new tab in your web browser.

Clocking Details Report Settings

The Clocking Details report's settings are split into four: Options, Grouping, Template, and Actions.

Options

Options can be further split into dropdowns and checkboxes.

  • Dropdowns:

    • Report Type: choose from None, Daily, or Weekly report type.

    • Date From/To: choose the date range of your report.

    • Time format: select if time will be shown in hours and minutes, hours only or minutes only.

    • Sort Order: sort the report by Employee Code or Employee Full Name.

  • Checkboxes:

    • Exclude pending leave records: check this box if you want pending (unapproved) leave to be left out of your report.

    • Include public holidays: check this box if you want to include public holidays in your report.

    • Summary only: check this box to show only a summary of punches details for selected employees.

    • Subcontracted employees only: check this box to only include subcontracted employees.

    • Use scheduler cost centre: check this box to show the cost centre that is listed with the shift in your Scheduler. Note: when selecting this option, Group Level 1 must be set to Cost Centre.

    • Show original clockings: check this box to see the original clockings of entries that have been amended.

    • Show Break and Work Duration: Indigo will distinguish break time from total shift duration and show it in a separate column.

    • Include leave records: check this box to include leave records in your report.

    • Include Out of Office/Working Remotely: check this box to include Out of Office/Working Remotely entries.

Grouping & Page Breaking

Grouping gives you two levels by which to group the Clocking Details report. Choose from the following criteria: company, department, section, unit, location, gender, cost centre, or employee. For Group Level 2, you can also choose 'None'.

Page Breaking is configured at this Grouping stage. To create a page break at a specific location, click on the corresponding grey Without page break button to turn it into a blue With page break button, indicating that a page break has been set.

Template & Actions

Currently, the only Template option for this report is Standard.

Under Actions, you can choose to tick 'Remember generated report settings' to save your settings for future use.

Missing punches are shown as blank spaces. You can create reports on missing clockings from the Clocking Exceptions report screen.

You can create a Clocking Details report in three other file types besides PDF. Hover your mouse over the arrow near the Generate PDF button to: 

  • Generate Report Viewer (generate and view the report in an online viewer).

  • Generate Merged (generate and view the report in an online viewer merged into a single, contiguous document).

  • Generate Data Only As Excel (generate the report with data as an Excel sheet).


Send Clocking Details reports in an email

To send the PDF version of the report in an email:

  1. Go to Attendance > Reporting > Clocking Details.

  2. Follow steps 2 to 4 under Running a Clocking Details report.

  3. Click Send Report in the bottom-right corner of the Options drawer.

  4. In the resulting pop-up, fill in Email To, Subject, edit the text in 'Additional Message' if needed.

  5. When your message is ready, click Send Report Link on the bottom right of the pop-up, or hover your mouse pointer over the arrow next to it and choose from Send Report as Excel Attachment and Send Report as PDF Attachment.
