Assign a Reallocation Profile to an Employee Profile

Learn how to add cost centre reallocation profiles to employee profiles in Indigo to set up the required reallocation process

Introduction

After you have enabled reallocation and created one or more reallocation profiles, you can use them to configure the reallocation process directly from the employee’s profile. You can:

  • Set up reallocation based on the hours worked by the employee in one or more cost centres.

  • Set up reallocation based on the work percentage assigned to each cost centre for the employee.

Below is how to achieve either option using reallocation profiles in the employee’s profile.


Set Reallocation per Hours Worked in a Cost Centre

  1. Go to Indigo HR > Main > Employees.

  2. Double-click on the employee for whom you want to add a reallocation profile.

  3. Click on Edit (pen icon) in the functions bar.

  4. Under Payment Details, select a Reallocation Profile Code.

  5. Click ✔️ Save.

❗ Important: If you also need to split the SSC amount (or any other cost) according to the cost centres the employee worked in, make sure this is first set up in the assigned Reallocation Profile.

Example and Result in Payroll and Payroll Reports

Example

  • A particular full-time employee's default cost centre is SALES. However, the employee worked some hours against the DELIVERY AND ADMIN cost centres too.

  • A reconciliation profile was assigned to the employee so that the basic hours and SSC costs are split according to the relevant cost centre.

Result in Payroll

The costs will be split between the hours recorded against the DELIVERY and ADMIN cost centres, while the remaining costs and hours will result under the employee's default cost centre, in this case SALES. The SSC associated split costs are not visible in the Payroll Calculations page. To see them, you need to run a report.


Result in Payroll Detailed Report

If you run a Payroll Detailed Report you'll be able to see the full situation resulting from applying the reconciliation profile to the selected employee. Salary HOURS (basic hours), Salary and Employee SSC associated costs are split between cost centres accordingly.


Setting Percentage Reallocation per Cost Centre

  1. Ensure you've performed steps 1-5 from above.

  2. In the employee’s profile page, click on the Percentage Reallocation tab.

  3. Click on Insert (plus icon) in the functions bar.

  4. Enter the cost centre and the percentage of reallocation.

  5. Click ✔️ Save.

Example and Result in Payroll and Payroll Reports

Example

  • A reconciliation profile was assigned to the full time employee so that the basic hours and SSC costs are split per percentage according to the cost centre they worked for.

  • In the Percentage Reallocations tab, the employee is set up to work 60% of their time in the SALES cost centre and 40% in the DELIVERY cost centre.

Result in Payroll

The payroll calculation will accurately compute the split by percentage according to the assigned reallocation profile (SALES at 60% and DELIVERY at 40%). However, the Payroll Calculations page shows only the actual hours worked. In this case, 48 hours are recorded against DELIVERY, as shown in the image below, which is not 40% of 173.33 hours for a full‑time employee.

To see the calculated split of hours and costs according to the reallocation profile, you must run a payroll report.


Result in Payroll Detailed Report

In the Payroll Detailed report, you'll see the real calculation:

  • 69.33 Salary HOURS for the DELIVERY cost centre and 103.99 for SALES, which are respectively the 40% and 60% of 173.33.

  • Salary and Employee SSC amounts calculated as per the above percentages.
