Overview
There's an Attendance setting allowing you to calculate costs in your Scheduler strictly according to employees' Work Schedule Profiles. This setting is called Limit Cost to Work Schedule Hours and can be enabled from Attendance > Settings > Attendance > Costings.
How it Works
When this setting is on, Indigo scans and compares hours in the Scheduler with the work schedule profile. Based on this comparison, it then excludes extra hours and performs the cost calculation. This means that while those extra hours may still appear in the Scheduler, they won’t impact your budget and costs computing, giving you a more accurate, controlled view of your labour expenses.
⚠️ Important!
Limit Cost to Work Schedule Hours works as expected when:
How the Setting Affects Scheduler Costs
Let's consider an employee who is not entitled to overtime and has a Work Schedule Profile assigned with a 40-hour work week. The employee is then scheduled for 48 hours during the week in the Scheduler.
If the Limit Cost to Work Schedule Hours setting is enabled, Indigo only considers up to 40 hours defined in the employee's Work Schedule Profile when calculating costs. This results in a lower amount in the Cost column of the Scheduler (point 1 in the image below).
If the Limit Cost to Work Schedule Hours is disabled instead, all scheduled hours are included in the cost calculation, resulting in a higher value in the Cost column (point 2 in the image above).
To view a more detailed breakdown of these costs, click the Cost Centre value to open the summary pane in the bottom left of the Scheduler. Here, the Net Costs value is also affected by the Limit Cost to Work Schedule Hours setting.
Budgeting
If the the budgeting feature is enabled, the summary pane also displays budgeting information, allowing you to compare scheduled hours and costs against the budget allocated to the cost centre. In the cost summary pane, you'll notice two values related to budgeting: Budg. hours and Budg. cost.
