Cap Costs in Your Scheduler

Exclude hours planned and worked beyond your work schedule profile from costs calculation

Overview

There's an Attendance setting allowing you to calculate costs in your Scheduler strictly according to employees' Work Schedule Profiles. This setting is called Limit Cost to Work Schedule Hours and you can enable it navigating to Attendance > Settings > Attendance > Costings.

How does the Setting Work?

Having the setting turned on will make the system scan and compare hours in the Scheduler with the work schedule profile amount, exclude the exceeding hours and perform the cost calculation accordingly. This means that while those extra hours may still appear in the Scheduler, they won’t impact your budget and costs computing, giving you a more accurate and controlled view of your labour expenses.

⚠️ Important: Limit Cost to Work Schedule Hours will work as expected if:

  • You've previously enabled Costings in Attendance > Settings > Attendance > Costings.

  • Overtime is disabled for the needed employees.
    ​


Let's Have a Look at the Scheduler

Let's say you have an employee not entitled to overtime and who has a 40 hours on a five-day week Work schedule profile assigned.

Costs and Limit Cost to Work Schedule Hours settings are enabled as explained above. This week you inserted shifts for 48 hours in the Scheduler.

The Cost column ☝️ in the Scheduler will update its figures the moment you insert, update, delete or copy-paste shifts. The value will be different depending on whether the Limit Cost to Work Schedule Hours option is enabled or not.

Clicking on the Cost Centre value, it will show a section at the bottom left of the Scheduler. The Net Costs value will also update according to the setting.

Budgeting

In the mentioned section, you'll notice two values related to budgeting: Budg. hours and Budg. cost. Those are part of a budgeting feature, which becomes available upon enabling it. Once activated, it allows you to set up a budget per cost centre, for both hours and costs, in a given period. This will help you stay on top of your targets by tracking your costs and budgets in real time.
