Introduction
Once you create a currency in Indigo Business, you need to specify its exchange rate and keep it updated over time to make sure your transactions accurately reflect market fluctuations.
You can add exchange rates manually or automatically using rates published by the European Central Bank (ECB).
📑 Remember: you can store only one exchange rate per currency for each day.
Add Exchange Rates
You can add rates for the current day and backdated rates, but not future rates. Exchange rates are applied to transactions and journals based on the posting date.
📍 If you post an invoice dated today, the system uses the most recent available rate.
📍 If you add a backdated rate, the system updates existing transactions to reflect the newly added rate.
Add Rates Manually
Click on the currency code or on the Rates button at the top left of the grid.
Select Add ➕ in the Currency Rates side drawer.
Enter the exchange rate in the Rate field (always 1 for the Base Currency),
Enter the rate's start date in the Effective Date field.
Select Save.
The newly created rate now appears in the currency’s history within the Currency Rates drawer.
Add or Update Exchange Rates Automatically
Select a currency row in the grid to highlight it.
Select the Update Rates button in the top left of the grid.
The system will either:
Replace today's manual rate (if one exists) with the ECB rate, or
Create a new rate for today if none exists, still using the ECB rate.
⚠️ Important: the ECB publishes daily exchange rates at approximately 16:00 CEST. To get the latest rates, select Update Rates after 16:15 CEST.
If you do it earlier, you risk using the previous day's rates.
Editing and Deleting Exchange Rates
To edit or delete a rate:
Select a row in the Currency Rates drawer grid,
Select:
The✏️ Edit button to modify the rate, or
The 🗑️ Delete button to remove it
Use the navigation arrows in the drawer to move between currencies without closing the drawer.
💡 Tip: use the Generate Link 🔗 button in the Currency Rates drawer or the Currencies main grid to generate a direct link to a specific currency or rate. Then click Copy Link to copy it to your clipboard and share it with others.
