Setting Up your Hiring Pipeline Preferences

Learn how to create and manage hiring pipeline stages both at company level and job level

Introduction

The Hiring Pipeline is a series of stages, in the form of folders, used to organise applications for posted jobs. Configure the pipeline at company level to create a default process for all new jobs, or at job level to tailor stages for a specific vacancy.

The Stage Folders

In the initial stages of the hiring process, applications are automatically sorted into default stage folders (Unrated, Not a fit, Maybe, Perfect fit, and Declined), based on how closely they match the job requirements. This includes how applicants answer screening questions, and whether they're located in the countries or regions specified in the location preferences. These folders are greyed out and can't be deleted or moved within the pipeline.

As different jobs may require additional stages, like multiple interviews, you can create custom stage folders. You can edit, delete, and reorder them as needed.

Hiring Pipeline changes apply only to jobs created after the pipeline is configured or updated.


Creating a new Stage Folder for your Company

Follow these steps to create stage folders at company level. Changes apply to all jobs created after the pipeline is updated. For modifications at job level, click ➡️ here.

  1. Go to Dashboard > Your Hiring Preferences widget > Hiring Preferences.

  2. Click Edit to go to the Hiring Preferences section of your Company Settings.

  3. In the Hiring Process section, find Hiring Pipeline and click Edit on the far right.

  4. Click Add new stage below the folders list.
    ​

  5. In the Add new stage pop-up window:

    1. Fill in the Folder name field.

    2. Under Roles with access to set this status, choose from 'Select specific roles' and 'All roles'.

      1. If you choose 'Select specific roles', pick the roles from the dropdown.

    3. Select Add.
      ​

The new folder is added at the bottom of the list, just above the default Declined folder. Its default colour is grey, but you can customise this and other settings by following instructions in 👉 this section.

Any changes you save will apply for all your future job postings.


Sorting and Editing Stage Folders

Here are the changes you can make to regular and editable stage folders:

  • Pipeline position:

    1. In the Hiring Pipeline list of folder, find the stage entry to be moved.

    2. Click and hold the blue tab on the left of the entry (between the number and the folder icon), and drag it to the preferred position.

  • Colour: click the 📁 folder icon to change the folder's colour.
    ​

  • Edit the name:

    1. Select the ✏️ pencil icon on the far right of the stage to open the Edit pop-up.

    2. In the Folder name field, type the new name.

    3. Select Confirm.
      ​

  • Set access: define which users can set applications to this stage.

    1. In the Edit pop-up, choose from Select specific roles and All roles.

      • For specific roles, the role dropdown will show. Choose which roles need access.

    2. Select Confirm.
      ​

  • Delete the stage: select the 🗑️ trash can icon on the far right of the entry.
    ​

❗Don't lose your progress! After making any changes, remember to click Save Changes to apply your edits.

To discard your changes, simply leave the page without saving.


Setting up a Hiring Pipeline per Job

  1. In the Your Jobs grid, click on the desired job's Title to open it.
    ​

  2. When the individual job page loads, head over to the Settings tab.

  3. In the Hiring Process section, select ⚙️Edit on the far right of the Hiring Pipeline setting.

  4. The Settings tab will update to show the job's pipeline. Follow the same instructions described in this 👉 section or 👉 create new stage folders as needed.

  5. Don't forget to Save your changes!
