How to use Schedule Publishing

Learn how to publish and unpublish shifts in the Scheduler using the Schedule Publishing feature

Publishing the Scheduler

There are three ways to publish shifts in the Scheduler: via an individual shift, via the Publishing Wizard, and via the keyboard shortcut CTRL+P.

Method 1: via an individual shift

This method is best used when you need to publish shifts individually rather than in bulk.

  1. Click on the draft shift you wish to publish.

  2. Click on the menu.

  3. Click 'Publish Selected'.

  4. This will bring up a confirmation modal summarising the number of shifts to be published for which employee/s. Tick or untick the 'Notify Affected Employees' box and press Publish.

  5. The modal will close and the shift will appear in block colour with the published symbol in the bottom-right corner of the cell.

When the Notify Affected Employees box is ticked in any of these methods, Bell and Email notifications will be sent when you publish, unpublish, delete and update a shift.


Method 2: via Publishing Wizard

When you have many shifts to publish, the Publishing Wizard is the best option.

  1. In the Scheduler, go to Menu > Publishing Wizard, and choose between 'All Schedules' (this will publish all draft shifts) and 'Filtered Only' (this will publish only the draft shifts that are shown with any filters currently applied).

  2. The Publishing Wizard modal will come up showing Step 1: Publish / Unpublish. Select Publish.

  3. Step 2: Selection Type will show, giving you a choice between From Selection (Filter, search and select schedules from a helpful grid) and All Week (Selects all published schedules in the current week).

  4. If you choose From Selection, the modal will continue to Step 3: Choose from Selection, showing a grid of entries. Once you have ticked the entries you wish to publish, click Next.


  5. Step 4: Review provides a summary of the number of schedulers to be published along with the relevant employee codes. Select 'Notify Affected Employees' if needed, and press Publish.

  6. The modal closes and all chosen shifts are now shown as published in the Scheduler.


Method 3: via keyboard shortcut

  1. In the Scheduler, select the shifts you want to publish.

  2. Press CTRL + P to open the Publishing Wizard.

  3. This opens the Publishing Wizard in Step 4: Review. Tick 'Notify affected employees' if needed and press Publish.

  4. The modal will close and all shifts in the Scheduler will show as published.


Unpublishing Shifts with the Publishing Wizard

Shifts can be unpublished and returned to draft mode only via the Publishing Wizard.

  1. In the Scheduler, go to Menu > Publishing Wizard, and choose between 'All Schedules' (this will unpublish all draft shifts) and 'Filtered Only' (this will unpublish only the draft shifts that are shown with any filters currently applied).

  2. The Publishing Wizard modal will come up showing Step 1: Publish / Unpublish. Select Unpublish.

  3. This will take you to Step 2: Selection Type, where you can choose between From Selection and All Week.

  4. If you choose From Selection, the modal will continue to Step 3: Choose from Selection, showing a grid of entries. Once you have ticked the entries you wish to unpublish, click Next.


  5. Step 4: Review provides a summary of the number of schedulers to be unpublished along with the relevant employee codes. Select 'Notify Affected Employees' if needed, and press Unpublish.
