Overview

Once an Employee has been created, you can link them to a new User account.
This will allow them to use the Employee Portal to request and approve leave while consulting the current leave balance, access corporate documents and much more, all according to the company policies. More on this topic πŸ‘‰ here.

Linking an Employee to a New User

You can link an Employee to a new User

  • Either from the Employees grid in HR > Employees > highlight the employee from the list;

  • Or from the Employee Profile itself, by double clicking on the employee record in the Employees grid πŸ‘‡.

Employees that haven't a linked portal user account yet will show a deep blue Link User to Employee icon πŸ‘‡ in the toolbar.

Employees that already have a linked portal user account will show an light blue Link User to Employee icon in the toolbar.

Clicking on the icon will open the Link User To Employee modal.

The employee's email address is automatically populated in the User name field.
You can either create a password by filling the Password and Confirm Password fields, or leave them empty for Indigo to generate a random password while sending an email to the user prompting them to change it.
Tick the Inform User By Mail checkbox before selecting Create, to send the employee the login details.

The Users created following the procedure above will only have access to the company you created them in. Besides they are assigned only the Portal User role and the Employee permissions.

Unlinking User Accounts

To unlink an employee from an existing user account, select the employee from the Employees grid or navigate to the Employee Profile, and click on the Link User to Employee icon in the toolbar.


In the Link User to Employee window click the Unlink button as shown above and then close the window.
