Learn how to create tasks in Task Management, and how to update and delete tasks from the Employee's Task Drawer

Accessing an Employee's Task Drawer

  1. Go to All Employees.

  2. Select the employee the task will apply to from the grid, or find them via the Search function in the toolbar.

  3. Click on the arrow on the far right of the entry.

  4. The employee's task drawer will open.

From here, you can see a list of existing tasks applicable to the employee.

There are 3 actions you can take for each entry in the list:

  • Complete Task: click the grey tick icon to complete a task.

  • Cancel/Delete Task: click the red bin icon to cancel or delete a task.

  • View Task: click the end arrow to open the task's full details.

Creating Tasks

There are two ways to create a task in Task Management. You can create a task by importing from a template or setting up the task from scratch.

Before choosing which method to use, make sure to select the correct tab at the top of the task drawer: Onboarding for tasks related to starting employment, and Offboarding for tasks related to termination.

Method 1: Import a Template

  1. After opening the task drawer, click on Import from Template.

  2. The drawer will load Available Templates with all options already selected. Deselect as needed, then press Import.

The drawer will return to the main screen and a new task following the task template that was imported will show in the employee's task list. You can then open the task to update any details as needed.

Method 2: Create a New Task

  1. After opening the task drawer, click on Create New Task.

  2. The drawer will load the task creation fields, fill this in.

    1. Task Name: write a name for the task.

    2. Assign To: click the edit icon to choose an employee to assign the task to.

    3. Category: pick the correct category from the dropdown.

    4. Due Date: click here for instructions.

    5. Email Settings: click here for instructions.

    6. Notes: click here for instructions.

  3. Click the blue Save button on the bottom right of the drawer when you're ready.

  4. Indigo will ask if you're sure you want to create the task. Click Cancel to go back to the drawer, or Save to confirm.

  5. The newly created task will now be listed in the task drawer's list.

Good to Know

  1. Each individual task is only available in its assigned employee's My Tasks, and will not be listed under the applicable to employee's My Tasks.

  2. Only tasks applicable to the employee will show in the employee's task drawer.


Editing or Deleting Tasks from the Employee's Task Drawer

Editing Tasks from the 'Applicable To' employee's task drawer

To edit a task with the 'Applicable To' employee's task drawer:

  1. From All Employees, find the employee to whom the task applies and click on the arrow in their grid entry.

  2. When the task drawer opens, look for the task you want to edit and click the View arrow on the right end of the entry.

  3. This will open the task's details. From here you can edit the fields for Task Name, Assigned To, Due Date, Email Settings, or Notes. You can also change whether the 'Assignee is required to upload a document for this task to be completed' or not, by clicking the coloured Yes/No tag at the end of that sentence in the drawer.

  4. Once you have finished editing the task, click Update Task. If you have both edited and completed the task, then press Update and Complete.

Tasks can also be edited from the All Tasks grid.

Deleting Tasks from the 'Applicable To' employee's task drawer

You can delete a task from within the Applicable To employee's task drawer.

  1. From All Employees, find the employee to whom the task applies and click on the arrow in their grid entry.

  2. When the task drawer opens, look for the task you need to delete from the list.

  3. When you find the task, click the red Delete icon.

  4. The task will be removed from the list immediately and Indigo will inform you that the task has been deleted with a message in the bottom left of the screen.

You can also delete it from the All Tasks grid.
