View applications to change their stage, schedule calls, assess compatibility, CVs and cover letters. Learn about internal applications.

Overview

The All Applications grid offers a fantastic overview of all the applications flowing in for your company's open positions. But what about diving a little deeper? 🐟

Simply click on the desired row in the grid to assess an individual application. You can also explore a specific application by clicking on its entry in the job's dedicated applications tab.


Getting to know the Applicant

Clicking on an application will take you to its detailed overview screen, offering several functionalities to learn more about the applicant and to view or complete their Scorecard.

You can also navigate between different applications for the same job using the Next and Previous buttons at the top right of the screen.

Main Details Section

At the top of the screen, you'll find the applicant's main details, which include:

  • Profile picture

  • Full name

  • Email

  • Current location

  • Country of residence

  • Application stage

To update the Application Stage, click on the lilac status button (e.g., Perfect fit) and choose the desired stage from the dropdown menu. Note: the available stages are predefined based on your team's configuration of the Hiring Pipeline. Additionally, an application's initial stage will default to one of the following: Unrated, Perfect fit, Maybe, or Not a fit, depending on the applicant's alignment with the job's preferred location and screening question responses.

Clicking the Schedule Call button will let you set up a meeting between yourself or a team member and the applicant. Choose between scheduling via Google Meet or Outlook by selecting your preferred option from the dropdown menu.

The Edit Info button in the bottom right of the section, lets you adjust the applicant's main details.

The Manually Added tag appears to the right of the applicant's name when the application was not submitted by the applicant themselves, but rather by one of your colleagues with appropriate access rights. This could occur if the application was submitted on behalf of a friend or acquaintance.

When editing applications, you'll notice that certain data fields are greyed out and inaccessible in a standard submitted application (right), in contrast to an application marked with the Manually Added tag (left).

This is to help preserve the data's integrity as intended by the applicant.

Submitting an Internal Application

You have read right! Your team members have the capability to submit applications to your company's open positions, whether it's for themselves or on behalf of another applicant.

Here's how you can submit an internal application:

  1. Visit Your Jobs.

  2. Select the desired job from the grid.

  3. Navigate to the Applications tab.

  4. Click on + Add Application.

  5. Provide all necessary information. Note: if you're applying on behalf of someone else, ensure you have the following information from the applicant:

    ⦁ full name

    ⦁ email

    ⦁ location

    ⦁ country of residence

    ⦁ CV

    ⦁ cover letter [Optional]

    ⦁ Answers to a number of screening questions.

  6. Once all required information is provided and inserted, click Create Application.

Further Details

The centre-left section of the screen is dedicated to the applicant's submitted information that is most relevant to the job post. This includes their CV, answers to screening questions, and potentially a cover letter.

You can access each of these by selecting the respective tab.

Screening Questions

This tab will be open by default. Here, you can find all the information related to the applicant's answers to the job's screening questions. You will also see coloured target and map pin symbols indicating how well the applicant matched the basic criteria and residence requirements for the job (red for poor, yellow for moderate, and green for a perfect match).

Additionally, a button to Edit screening questions is available for adjustments.

CV/Resumé

Accessed via the tab on the left, you can view and access the applicant's CV.

At top, you may click the Open CV in new tab button to open the CV in a different window for a more detailed review.

Within the CV view, both in a dedicated new tab and within the Hiring webpage, you will find buttons for Printing, Saving, Searching, and other settings. Below is a highlighted view of the Indigo Hiring interface.

Cover Letter

When the application is submitted with an optional cover letter, you can access this from the tab on the right, which also has an Edit Cover Letter button to be used as needed.
