Get to know the layout of the Attendance Exceptions screen where you can resolve attendance issues before sending attendance data to Payroll

Overview

The Attendance Exceptions screen has four sections: the date selector, employee information, attendance issues, and the toolbar to amend attendance issues. Read below for more details on each section.

Before attendance data can be recorded and later sent to Indigo Payroll for payroll calculations, your clocking device must be synced with Indigo Attendance or you must import clocking data manually. Each employee must be marked as a T&A Employee in their profile, and they must each be assigned with at least one cost centre and a work schedule group.

Opening the Attendance Exceptions screen

  1. In Indigo, go to Attendance > Main > Attendance exceptions.

  2. You will find two tabs: one for Daily Attendance Exceptions, and one for Target Attendance Exceptions.

Both tabs have the same layout and work in the same way.

Date selector

Choose a range of dates to see attendance exceptions which occurred during the selected time period. 

To select a range of dates, click the start date, and then the last date of the period you wish to see.

Click the date selector again to close the calendar.

Employee information

From left to right, you will find:

  • The Day of the Week the attendance issue was recorded.

  • The Date of the attendance issue.

  • The employee's scheduled time in (Sch. Time In).

  • The Employee’s name and code.

  • The employee’s Occupation.

  • The Cost Centre assigned to that employee. 

Every attendance issue is recorded by the date it occurred. A single employee can appear in the Attendance Exceptions screen more than once if they had multiple attendance exceptions within the selected dates.

Click the column headers to sort the data according to that column. 

Attendance issues

Here you will find the type of attendance exception that has occurred for a particular entry.

The Absence columns show the amount of time an employee failed to clock in.

  • Absence: Balance shows the total amount of absence time yet to be allocated for the shift (in Daily Attendance Exceptions) or for the period selected (in Target Attendance Exceptions).

  • Absence: Total shows the total amount of absence time the employee had for the shift (in Daily Attendance Exceptions) or for the period selected (in Target Attendance Exceptions).

The Excess Time columns shows the duration of time in which an employee clocked out after their shift's time out range.

  • Excess: Balance shows the total amount of excess time yet to be allocated for that shift (in Daily Attendance Exceptions) or for the period selected (in Target Attendance Exceptions).

  • Excess: Total shows the total amount of excess time the employee had for that shift (in Daily Attendance Exceptions) or for the period selected (in Target Attendance Exceptions).

The Attendance column shows the amount of time the employee registered attendance, with excess time deducted.

The Exceptions Tags are colour-coded markers to help you see attendance issues at a glance.

Click any of these column headers to sort the data in numerically or alphabetically ascending or descending orders.

The magnifying glass icon opens the Allocations window where you can resolve the attendance issue.

Note: the column 'Autogenerated Attendance' indicates whether an entry was generated automatically by Indigo or not.

The Toolbar

The toolbar contains, from left to right:

  • Refresh: click to refresh the data in the grid.

  • Search: click the magnifying glass button to open the search bar. 

  • Filters: you can apply multiple filters at once to find specific data points. 

  • Exceptions: a dropdown menu allowing you to select specific unresolved attendance exceptions.

  • Send to Payroll: allows you to send the current attendance calculations to your Indigo Payroll calculations.

  • File: click the File dropdown to recalculate allocations, process allocations in batches, process pending approvals, export attendance, or import clocking data.

​In the Target Attendance tab, the File menu contains an option for Profiles instead and does not contain an option for Batch Processing.

  • Settings: you can select to show or hide additional columns.


Recalculating Allocations for Target Attendance Exceptions

  1. To recalculate allocations in the Target Attendance Exceptions tab, click File > Recalculate allocations, and either Cost Centres or Employees.

  2. This will open the below popup, prompting you to select the cost centres or employees (depending which you chose) that you wish to recalculate. After making your selection, click the Next button.

  3. You will be asked to select the employees you wish to recalculate. Make your selection and click either Skip Review & Submit or Next. Toggle the switch in front of the refresh button to show employees not employed during the interval in the list.

    1. Skip Review & Submit: this buttons skips the Review stage and submits your selected employees for recalculation.

    2. Next: this button takes you to the final step in which you can review your calculation selection. If you are happy to go ahead, click Submit.

  4. After clicking Skip Review & Submit, or Next > Submit, you will see this message:

  5. Click Recalculate to go ahead, or Cancel to cancel and return to the previous screen.

  6. Finally, the grid will reload with any recalculations made.

Shortcut Note: if you want to skip choosing the Cost Centre and go straight to selecting employees, click on Recalculate selected employees in the File dropdown.
