About the Attendance Allocation modal
Accessing the Attendance Allocation modal
Click the magnifying glass icon in the Attendance Exceptions screens to open the Attendance Allocation window.
The window contains attendance exceptions for the employee's specified shift. You can cycle to the previous or next employee on the attendance exceptions list by clicking on the < and > arrows found on either side of the top section of the modal.
The Attendance Allocation modal is divided into two main sections. The top section contains the employee’s details, the allocation details, and the calculation overview.
Employee's Details:
Employee's Name (Code) is shown at the top of this section, to the right of the employee's profile picture.
Cost Centre shows the employee's cost centre (E.g. Kitchen, Admin, Sales, etc.)
Occupation notes the employee's job title.
Employee Type shows if the employee is Salaried, Hourly Paid, etc.
Has Overtime will have a green tick if the employee has overtime, or a red cross if the employee does not have overtime.
Daily Attendance Type shows the type of Daily Attendance chosen in the employee's Attendance Details.
Allocation Details:
Day is the day of the week the shift fell on.
Date shows the shift's date.
Shift Name gives the name of the shift as saved in your Shift Presets.
Sent to Payroll shows a padlock icon. If it is unlocked, the allocation has not been sent to Payroll yet, while if it is locked it has been sent to Payroll already.
Calculation Overview:
Attendance less excess time shows the amount of time the employee is expected to work during the assigned shift. This is a balance of time in/out subtracted by the shift’s break time.
Break shows the maximum amount of time allocated to the employee's break.
Excess time balance shows the amount of time the employee worked in excess; in other words, the employee clocked out after the time out range of the shift.
Absence balance shows the amount of time the employee was absent from their shift. This can include late arrivals, mid-day absences, full-day absences, or missing clockings.
The bottom section of the modal shows the tabs available on the top left, with the content of the selected tab taking up the middle of the section, the tags showing on the bottom left and the action buttons on the bottom right.
The tabs available are: Allocations, Daily Records (only for Target Attendance Allocations), Clocking, Timeline, and Remark.
The Allocations tab
The Allocations tab shows the attendance exception that has occurred during the employee's shift.
To resolve the employee’s excess time or absence balance, click the Set allocation button.
You can then amend the allocation entry as needed. If you wish to simply resolve the attendance exception without applying any further actions, such as penalties or rewards, set the Resolved toggle to 'Yes'.
You can review the details of the attendance exception in the Clocking tab.
Hovering over the tooltip at the end of each entry will show the entry's type and name.
The Daily Records tab
The Daily Records tab is only used for Target Attendance Exceptions. It summarises the employee's daily worked hours in a grid, while also providing the shift preset information in the Shift Details on the right hand side for those employees that are Non-Scheduler based. Click on an entry in the grid to view the Shift Details for that date.
Grid Glossary
Day: day of the week and date.
Attendance: shift name and hours.
Attendance Hours: total hours recorded for that date.
Running Balance: total hours records from the start of the period to date.
Break Hours: total break hours recorded for that date.
Excess Hours: total excess hours recorded for that date.
The Clocking tab
The Clocking tab has detailed information about the employee's clocking data.
The table of clocking data includes the clocking date, the time/s clocked in, and the time/s clocked out. Clockings are grouped by date to help you clearly see when particular punches were created. If a clocking is outside of a specified Earliest/Latest Clocking range then it will be auto-amended and tagged accordingly.
Daily Attendance Allocation - Clocking tab: clocking data is presented at the centre of the window. To the right of the clocking data, you will find shift preset details for the allocated shift for the given day. You can open the shift's Schedule in a new tab directly from the 'Open Schedule' button, without having to navigate back to the Scheduler and search for the shift first.
Note: Non-Scheduler Workers of Work Schedule Profile type will not have any shift preset details available.
You can manually adjust clocking data in the Clocking tab. When clocking data is autogenerated by Indigo, entries will be labelled with a green 'Autogenerated' tab.
Target Attendance Allocation - Clocking tab: clocking data is shown in the window. Shift preset details are not visible and clocking data cannot be adjusted.
To see all your employees' clocking data for a selected period, go to Clocking Data in Attendance.
The Timeline tab
This tab provides a Gantt chart view of the allocation. This colourful visual shows the employee's clocking and schedule information after the Attendance Allocation has processed them, to help users understand how the system calculates totals.
The Remark tab
This tab is a space for users to add remarks. Remarks entered here are retained upon recalculation, and the tab shows an alert when remarks have been added.
