Introduction

First time you see the Suggested Applicant form as a recruitment agency? Then this article is for you! It will walk you through each section of the form and explains the purpose of every field, helping you understand what information to provide and how an agency can contribute to the recruitment process using Indigo Hiring.

The Agency Applicant Form

The Suggested Applicant form is a form dedicated to recruitment agencies, which have been invited into Indigo Hiring by the companies they cooperate with. It gives you the chance to introduce a candidate properly, without relying only on a CV attachment and a little hope.

Once you log in to your agency profile, use the Add Applicant button next to the relevant job post to open the Suggested Applicant form.

The form is split into two sections:

  • Top section: shows the applicant's information, application documents, and communication settings.

  • Bottom section: contains the screening questions for the job post, if any are configured.

Top Section

The available fields in this section can be split into candidate details and communication settings.

Candidate Details

Here you can find basic information like: First Name, Last Name, Location, Country of Residence and Candidate's email, Gender and Date of Birth.

Drag and drop the applicant's resume into the CV upload box, or click to browse your device. For a more complete application, copy and paste the applicant's Cover Letter in the corresponding field.

Use the Agent Referral field to record which recruitment agent is submitting the candidate and show it on the application's screen.

Communication Settings

There are two communication settings:

Contact Email for this Candidate

Choose Candidate's own email to let the company email the applicant through Indigo Hiring. The applicant's email address will also be visible to the company.

Select Recruiter's email if your agency prefers to manage email communication with the applicant. The applicant's email address will remain hidden from the company, and any emails sent through Indigo Hiring will be delivered to the recruiter instead.

Let the hiring company chat with the applicant on Indigo Hiring

Select Yes to let the hiring company message applicants through the internal Indigo Hiring chat, or No to prevent messaging.

Bottom Section

In the bottom part of the form, you'll find any screening questions configured for the job post. As a recruitment agency user, you can answer these questions on the applicant's behalf during a preliminary interview, or leave them blank for the company to discuss with the applicant later.

📋 Notes:

  • Recruitment agencies can't modify screening questions. Only Hiring Administrators in your client's company can manage them.
