An overview of the various features within Indigo

Indigo's Modules

As your one-stop shop for your company's HR, payroll and attendance needs, Indigo has a number of modules available to help you work faster and easier, including: Dashboards, HR*, Payroll and Leave, Document Manager, Attendance*, Approval System*, Insights,* and Administration.

You can navigate Indigo's modules using the left sidebar menu.

Dashboards

The Dashboard is where you can find your Employee Portal, Indigo's self-service module for employees to apply for leave, store payslips and FS3s, and access company documents. More about the Employee Portal can be read here. Different tutorial videos on how to use the portal are found here.


HR

Main

  • Employees: This is where you can add employees and manage their profiles in the system. Employee profiles contain a number of data points (what we call support files) that help you carry out your HR and payroll duties in Indigo.

  • Calendar: a system calendar where you can find important dates relevant to your employees, such as their work anniversaries, probation or contract expiries, and birthdays. You can create custom calendar reminders and events as well.

  • Salary Package: allows you to easily view, edit and compare employees' salary details.

  • Skills & Training: keep valuable information about your employees' education, skillset and knowledge.

  • Onboarding & Offboarding: organise and automate tasks in the engagement and/or termination processes that are routinely assigned to employees.

Employee Setup

This section is where you will find the support files. It is in this section where you will go to configure data for employee profiles to assist you in your HR and payroll tasks. The more support files you use for your employees, the more capabilities you will have when creating employee, leave, and payroll reports.

Reporting

The Reporting section is home to all the HR reports available to you.


Payroll and Leave

Main

The Main section is where most of your work in Indigo Payroll and Leave is done.

  • Leave: Administrators can submit leave records and create Leave Audit reports here.

  • Payrolls: Your company's (or companies') payrolls are created and run here. You can adjust pay variables for employees, as well as issue direct credits, cheques, payroll reports, and FS5s from this module. This article on the payroll calculation process is a good place to learn more.

  • Settings: This is where you can configure your Payroll and Leave settings, enabling or disabling the various configurations and options to best suits your needs.

Reporting

You can find all FS forms and the Electronic Lodgement here, along with various reports for Payroll and Leave.

Payroll Setup

The Payroll Setup section is where you can configure your pay variables, including pay items, fringe benefits, tax profiles, bonuses, and more. The pay variables you configure here are available to be used when calculating payroll in the Payrolls page.

Leave

Leave types, leave entitlements, holidays, and leave write-off functionalities are found here. Your Indigo system comes ready with standard leave types and entitlements granted to employees by law, but it is here that you can add leave types and entitlements specific to your company.

Utilities

Changes or actions you want to apply to multiple or all employees in your system, such as bestowing leave entitlements globally, for example, are accomplished through the functionalities found here in the Utilities section.


Document Manager


Attendance

Main

  • Scheduler: create rosters and schedules for your employees by entering shifts in the Scheduler.

  • Import Clocking Data: import attendance data from external clocking devices.

  • Clocking Data: view and edit your employees' clockings here.

  • Clocking Map View: visualise employees' clockings on a map to keep track of which work location they were present in.

  • Attendance Exceptions: you can easily see and amend any attendance exceptions in your employees' data here.

  • Device Manager: this feature takes care of all communication between Indigo and clocking devices.

  • Presence: use Presence to see which of your Scheduled employees are currently signed in.

  • Settings: configure your Attendance settings to meet your requirements.

Setup

This is where you can create all the variables that go into creating and managing the Scheduler, running Device Manager to handle your employees' clockings, along with any Attendance costs that affect the Payroll.

Reporting

All reports related to Attendance can be found here, enabling you to view any attendance and schedule data with only a few clicks.

Administration

The Administration section is where your company's Indigo administrator can configure settings and options for you and other users of your Indigo system, including creating user profiles for the Employee Portal. Permissions and access to different modules in Indigo are controlled from here, too. Importantly, you can manage and review your license and payment of Indigo and add new companies here.

Main

  • Settings: configure various administrative settings from here.

  • Companies, Users, User Groups: manage your companies, users and user groups from here.

  • Permission Sets: control user and employee access throughout Indigo from here.

  • Audit Log: keep track of all actions taken throughout Indigo Suite.

  • Web Hooks Log: keep track of Web Hooks with this log.

  • Password Policies: customise your company's own password policy here.

  • Import/Export Audit: this keeps a log of all imports and exports of data carried out via Indigo.

Messaging

  • Message Log: this is a log of all email message sent directly from Indigo.

  • Messenger Profiles: set up email accounts to send emails from within Indigo.

  • Mail Templates: create templates for the emails that will be sent from within Indigo here.

Licensing

Control your Indigo subscription and licenses from here.

Reporting

Run the Audit Log, User Roles Permissions, Permission Set Rights, and User Login reports here.
